How to label a product

A label looks like the last, simple step of making a product. It is really five decisions stacked on each other — material, design, compliance, application, testing — and any one of them, done wrong, is what turns a handsome label into a wrinkled, peeling or illegal one. This guide takes the five in the order you should decide them.

1. Start with the environment and the surface

The label left the factory perfect. It crossed the Pacific through cold nights and hot holds, and by the time the bottle reached a shelf in Denver, one corner had lifted and curled back on itself like a dead leaf. Nobody had used bad glue. The bottle was polyethylene, about 31 dyne per centimetre, under the 36 an ordinary adhesive needs to wet a surface. So it had never really gripped. The label had been letting go since the day it went on.

That failure is settled at the first step, before anyone picks a colour: the material, chosen from where the label will live rather than from how it looks. Answer two questions before you reach for paper or film. What will the label live through, and what does it stick to?

Environment is temperature, moisture, UV and chemicals. A chilled beer bottle sweats in an ice bucket; a hot-fill juice bottle meets 85–95 °C on the line; a garden planter bakes for years. Each one rules some materials out. Paper buckles the moment it meets water, so anything chilled, washed or humid wants a film face: BOPP, PET or vinyl. Hot-fill softens BOPP past about 80 °C, so reach for PET or a metallized film. Outdoors, nothing lasts without a UV-stable film and, past a year or two, a laminate over it.

Surface is the one that catches people. Glass and metal are easy: high surface energy, so almost any adhesive grips on contact. Plastics are where labels fail, and the bottle in Denver is why. Polyethylene and polypropylene sit below the threshold a standard adhesive can wet, so it beads instead of bonding. On those plastics you specify a low-surface-energy adhesive, or have the container corona-treated, and you name the resin on the order. “Plastic” is not a specification.

There is a pattern behind failures like the one in Denver, and it is worth knowing because it is the most common mistake in the trade. Buyers pour their attention into the facestock, the part they can see and hold, and barely think about the adhesive, the part that actually decides whether the label stays on. Face over-specified, adhesive under-specified. On glass you get away with it. On a low-energy plastic, in a freezer, or under a year of sun, you do not, and by then the run is printed. When you brief a supplier, the surface and the adhesive deserve more of your words than the colour.

Five questions carry the whole choice: environment, substrate, product life, print and readability, compliance. Walk them once and the shortlist is short. The best-for guides run this for the common cases, and the surface-energy table shows where each surface sits.

2. Design the artwork to print right

A print run is only as good as the file behind it, and most print problems are baked in before anything reaches a press. Three set-up choices decide most of it.

Bleed first. Die-cutting has slack: the blade lands a hair differently on every label, so if your background stops dead on the cut line, some come back with a thin white edge. Run the background about 3 mm (1/8 inch) past the cut and trimming never shows. The same slack works inward, so hold text, logos and barcodes about 3 mm inside the cut, where nothing gets shaved off. And build the file in CMYK. Screens are RGB; presses are not, and an RGB file shifts, usually duller, on its way to ink.

One thing sinks runs on its own: the barcode. It needs clear space around it and enough size and contrast to read, dark bars on white, never squeezed into a corner. A barcode that will not scan can hold a whole shipment at a retailer’s door. The design guide walks the set-up, and the glossary defines bleed, die line and the rest.

3. Get the compliance right — before the run

Compliance is the step most sellers treat as paperwork and the one most likely to strand a shipment at customs. Here is the part that surprises people: the responsibility is yours, as the seller or importer, not your printer’s. The factory prints the specification you hand it. It cannot know your market’s rules for you.

What that means depends on the product. Food and drink need a food-contact adhesive: FDA 21 CFR 175.105 in the US, EC 1935/2004 in the EU. Cosmetics list ingredients in INCI names and must not drift into drug claims; “moisturises” is a cosmetic, “treats eczema” is a far stricter animal. Chemicals shipped by sea may need BS5609; electronics carry RoHS and REACH. And “FDA approved” is a myth: the FDA approves no label. The manufacturer self-certifies, and you keep the document.

So put the full requirement in the brief up front and ask for the paperwork: the declaration of compliance, the REACH statement, the FSC licence code. Get it before the run, not at the port with a mark missing. 4. Apply it so it stays

A right material and a clean file still fail if the label goes on badly, and application is mostly preparation. Wipe the surface with 70%+ isopropyl alcohol on a lint-free cloth, twice for plastic fresh from the mould, where release agents sit on top and hold the label off. Let it flash off before you apply. The oil from one bare thumb is enough to lift a label a week later.

Then the technique. Apply at room temperature to a dry surface; cold stiffens the adhesive and it will not wet out. Line the label to the container’s moulding seam so it sits straight, set one edge down, and roll it on while you smooth from the centre out, driving the air ahead of the label instead of trapping it. Press it home. Then wait: a fresh bond is a fraction of its final strength and takes about a day to reach it, so nothing ships or stacks before it has cured. 5. Test before you commit

Everything above narrows the choice. A sample settles it. Before the run, get the exact construction free and put it through the life the label will actually lead: the ice bucket, the dishwasher, the sun, the warehouse floor. A removable grade that passes on a smooth test coupon can still anchor on a slightly textured production surface; an adhesive that holds at room temperature can quit in a freezer. The container on your bench, in your conditions, is the only test that will not flatter you.

  1. Material — the surface and the adhesive decide it, not the colour you can see.
  2. Design — bleed, safe area, CMYK, a scannable barcode.
  3. Compliance — your responsibility; specify it up front, keep the docs.
  4. Application — clean surface, right technique, let it cure.
  5. Testing — a sample on your real container, in real conditions.

What is the first thing to decide when labelling a product?

The material. Choose it from where the label will live and what it sticks to — the temperature, moisture, UV and chemicals it faces, and the surface’s energy, curve and texture. Everything downstream follows from that one decision.

Do I need my labels to be compliant?

If the product is food, cosmetic, a chemical, or a medical device, yes — and the responsibility is yours as the seller or importer, not the printer’s. Confirm your market’s rules, specify them, and keep the supplier’s compliance documents. There is no such thing as an “FDA-approved” label.

Why do my labels keep peeling off?

Almost always the surface or the adhesive: an oily or dusty surface, a low-surface-energy plastic that needs a special adhesive, too little pressure, or shipping before the bond has cured. Fix the surface, match the adhesive, and give it a day, and most peeling stops.

How do I know a label will work before I order thousands?

Test a sample on your actual container, in your actual conditions. Ask your supplier for a free one, apply it, and put it through the moisture, heat or handling it will really face. It is the only test that counts.
